(KC) Alternatives to the t-shirt

Okay, so we've got this problem... Phoenyx t-shirts don't work well with
festival garb.  Karen's been talking about doing a tasteful phoenix on our
cloaks (I figure we should have guardsman garb, and we'd be the Phoenyx
Guards) but that's not going to work for everybody.

I've been skimming alt.fairs.renaissance today and apparently AFR does
what they call "Invasions", where AFR readers meet at renfairs.  (Now
that's cool... an online community that's already associated with
gatherings of people in RL.)  Apparently, what AFR does is have *pins*...
not sure if they're enameled or what, but they have a "base" pin to which
are attached "danglies" (official term) for each fair or festival.  (It
looks like you get the base pin to identify yourself to the group, but the
danglies don't seem to be available until after the event, so I guess you
can tell which events people have been to when you run into them later.)

The Invasion thing has its own website...  www.afr-invastions.org.
What's weird is, they have *web forums*.  For a community formed around a
*newsgroup*.

They have multiple organized photo opportunties at the next upcoming
Invasion (Maryland), but ask no more than *forty* persons (or otters, as
they call themselves) per photo.

Anyway, they also have Ren.Geek pins, which apparently some guy that runs
a pewter foundry makes and gives away free to "otters" who can answer a
simple quiz (to indicate that they're really AFR readers).  This isn't the
same thing as the Invasion pin.

But, I think pewter would be cool, if we could make them or have them made
in time.

Enameled in the proper fiery colors would be even cooler, but more
expensive and I'm sure couldn't be made in time.

As a last resort, I've got a Badge-a-Minute.

I think it'd be nicer to have something visible at a distance, 
otherwise you're either going to be running around peering at 
people's lapels (and think about that, do *you* want people peering 
at my, um, lapels if I'm running around in a bodice?) or you're only 
going to recognize other Phoenyxians if you've already met them.

I guess the next question is, how many people *are* going to show 
up in garb?

	1) Do you have any expected group size at this point?
	2) Do you have a list of "nearby hotels"?
	3) Do you have the prices for the Faire/estimates on 
	other costs?
	4) When was this going to be again?
	5) When would we have to know we were showing?

	[I'm thinking about it, but end of October is MileHiCon, and then
	it's AmberCon NorthWest right on November 1st, so... BUT, this
	wouldn't be "that far away..."]

We're still in the early planning stages... we've only chosen a location

There are others nearby.  Three on that list have Festival discounts.

Looking at Overland Park, KS (which is near the Ren Fest), decent hotels
start around $60 a night.  Expedia.com helps here.

We'd like to put as many people in the same hotel as possible, or in
hotels close to each other at least.

$13.95 at the gate, $12.95 online (held at the call-window).  Parking is
free.

*But* they have a Group Discount Program which is pretty nifty... we order
enough tickets to cover our needs, *without pre-payment*.  After we attend
the Festival, we return unused tickets with our payment for tickets used.
Cost is $10.50 each... save $3.45 over gate price, *and* no potential of
paying for too many tickets.

I don't see any reason not to do the "Consignment Ticket" program and get
the discount.  I'll drop them a note and see exactly how that works if we
don't all arrive at the Festival at the same time.

Other costs... transportation.  If we have a lot of people fly in, we may
have a shortage of vehicles without renting.  Our van holds seven (as long
as a couple of them are skinny).

October 13th (Saturday) is the day we're attending the Festival.  Karen
and I will be in KC Friday morning through Sunday afternoon at least.
We're planning to be available Monday, but I don't know how that's going
to fit into things... if folks want to stay through Monday, we'd be up to
it.

We'll be putting forth a variety of ideas for an agenda soon.  I'm not
sure if we want a lot of scheduled events or just time to hang out at this
point.

You can show up the day of the Festival without warning, though the more
people we know for sure are attending the more likely it is that we can
get discounts, can reserve appropriate spaces if necessary, etc.

There will be a big difference between ten and forty attending... at forty
we need to be looking to reserve a dining area if we all want to eat
together, etc.

I've put up the "official" Gathering web page at 
http://www.phoenyx.net/gamers/gather/ with pointers to the 
archives of this discussion, plus a metric buttload of options for 
things to do in KC.

A lot will depend on the demographics.  How many people show up 
overall, how many people want to spend time with just the people 
from their game, how many people want to schmooze versus how 
many people want to play live games, whatever.

Anyway, as decisions get made, I'll update that page.  First thing 
is to pick a hotel (or cluster thereof), except that that will partly 
depend on what *else* we're doing.  If everything except the 
RenFaire is in North KC, we don't really need/want a Bonner 
Springs hotel.  For one thing, MCI (the airport, not the phone 
company) is on the north side.  Worlds of Fun is northeast.  
Bonner Springs is far west; the Fairegrounds are right off I-70.  KC 
is a big town, very spread out.

At this point, I think we have ~5-10 confirmed.  I can think of 3
definites (Carl, Karen & myself).

We should probably try to pick one soon, so those who are flying in
can start making reservations and such.

I'm planning on getting a rental, so I can help out in that respect.
But don't count on putting *too* many people in mine, as I'll probably
get a Mustang convertible or the like (it'll probably be off Allison's
National account and that's her preference).

For furture reference, my plan is to fly in on Friday (don't know what
time yet) and back home on Monday (again, don't know what time).

A big dinner together should probably go on the agenda, Friday night
or Saturday after the Fest.

So to elaborate on this, Carl & Karen would like to know in advance as
much as possible.  One or two (or five) people turning up at the last
minute won't be a problem but having an extra 20 do so would make for
a significant alteration in plans.

It seems to work for them, but they apparently have multiple scheduled
events during each day for people to get together and meet.

What other options do we have?

And what is the problem with people "peering" at your "lapels" if
you're wearing a bodice?  Isn't that the point?

And anyway, they can go on your cloak.

Allison has only the cuffs to do on the shirt (and a minor re-work of
the side seams and hem, but that should take almost no time compared
to the cuffs), so I'll be semi in garb.  (Black jeans for the rest of
me.)

What's the normal tempurature for the Faire?

There is that.  I have no idea if we could get something like that done in
time, but I'm going to look into it.

Mid-October in Kansas... there is no "normal" temperature.  It could be
hot or it could snow. :)

Bonner Springs' average high for mid-October is 70 degrees, average low is
45.  Record high is 95, on October 5th 1963.  (Why don't the records keep
track of the "lowest high"?  Knowing that the record low is 18 degrees
doesn't tell me what it's like during the *day*.)

Average precipitation for October is 3.8 inches.

So I'd expect "pleasantly cool" weather, with a small chance of rain.

Personnally, it's my opinion (and remember that I grew up in the Upper
Pennisula of Michigan), that in October, if it *isn't* snowing, it's
hot.

Actually, the weather records usually do have the "lowest high", but
only in the *full* databases that you have to pay big bucks to get
your hands on.  Sometimes the weather forecasters around here will
mention the "lowest high" or "highest low" in the day looks likely to
break either.

In otherwords, it's worth it to bring the (much nicer) heavy cloak.
